The Executive Assistant acts as the assistant to the President/Chief Operating Officer performing advanced, diversified, and confidential secretarial and administrative duties requiring broad and comprehensive experience, competencies, and knowledge of organization policies and practices while exercising discretion in handling confidential, sensitive, and timely information.

ESSENTIAL DUTIES

  • Serve as the primary assistant for the President/COO.
  • Provide backup assistance to the VP of Development as needed.
  • Arrange for and schedule appointments for the executives, including interviewing callers and making proper referrals.
  • Receive and initiate extensive, regular outside contacts on behalf of the executive with executives and boards of directors of other companies.
  • Provide support for the President/COO with the Executive Committee and Board of Directors.
  • Coordinate calendars including scheduling travel arrangements, arranging luncheons, appointments, meetings, and presentations by executives.
  • Prepare meeting agendas, memos, and correspondence.
  • Attend meetings for purpose of recording, preparing, and distributing minutes and reports.
  • Conduct mail merges and bulk mailings.
  • Compose letters and statements independently, requiring interpretation and application of Cable Center policies and procedures, and monitor follow up on all correspondence that requires answers, responses, and written replies.
  • Create Powerpoint presentations with text, charts, graphs, and images.
  • Prepare reports and analyses from Raiser's Edge database setting forth progress, adverse trends, and appropriate recommendations or conclusions.
  • Provide leadership to the support staff, especially on large projects.
  • Establish and maintain appropriate electronic and hard copy files, keeping correspondence and reports available for reference and ensuring efficient operation of the office.
  • Provide project management assistance as needed, including research and analysis of information.

QUALIFICATIONS

Cable Center Careers

  • Specialized secretarial training acquired through a combination of education and experience.
  • Eight years progressive experience as a professional administrative assistant in an office support role.
  • Excellent communication skills (written and verbal), grammar, and reasoning skills.
  • Must be highly organized with strong time management skills.
  • Must have a high degree of flexibility to work in a small-office environment with multiple tasks.
  • Superior customer service skills and a professional appearance.
  • Ability to handle confidentiality and sensitive information.
  • Attention to detail, mature judgment, and follow-up skills.
  • Must take an active interest and is proactive in assisting the department and the organization to meet needs and/or objectives.
  • Ability to work independently as well as in a team environment.
  • Self starter and be able to work under pressure.
  • Ability to utilize office equipment (i.e. copier, fax, postal meter, scanner, computer, etc.).
  • Excellent computer skills to include current experience with MS Office, database management (Raiser’s Edge).
  • Good internet skills for research.
  • Knowledge of cable industry and/or non-profit fundraising very useful.
